This Privacy Policy sets out our commitment to protecting the privacy of personal information provided to us, or otherwise collected by us, offline or online, including through our website and mobile application (Site). As an organisational psychology and leadership consulting practice, we recognise the importance of handling personal information responsibly. We collect, use and store information in accordance with the Privacy Act 1988 (Cth), including the Australian Privacy Principles (APPs).
This Privacy Policy explains how we collect, use, disclose, store and protect personal information when delivering our coaching, leadership development, assessment and organisational consulting services.

We may also receive information from client organisations where they have engaged us to provide coaching, leadership development or organisational consulting services.

We may disclose personal information to:
third party service providers for the purpose of enabling them to provide their services, including (without limitation) IT service providers, data storage, web-hosting and server providers, debt collectors, maintenance or problem-solving providers, marketing or advertising providers, professional advisors and payment systems operators;

6. Coaching Confidentiality
Confidentiality is fundamental to the coaching relationship.

disclosure is otherwise authorised under our contractual arrangements.
Where organisations sponsor coaching programs, reporting is generally limited to agreed progress updates and themes rather than confidential coaching discussions, unless otherwise agreed with the participant.
7. AI and Technology
Omio may use technology, including AI-assisted tools, to improve service delivery and administrative efficiency.
Examples may include:
document preparation
summarisation of meeting or workshop themes
learning resource development
research support
administrative automation.
AI is used to support our psychologists and consultants—it does not replace professional judgement, coaching relationships or psychological decision-making.
Where AI-enabled tools are proposed that may process participant information, Omio will undertake appropriate privacy and security due diligence and, where required, obtain client approval before implementation.
8. Storage and Security
Omio stores information using secure cloud-based business systems.
Our primary business systems operate within Microsoft 365, including:
SharePoint
OneDrive
Microsoft Teams
Exchange Online.
Our Microsoft 365 environment is hosted within Australian data centres.
Information is protected through measures including:
encryption in transit
encryption at rest
multi-factor authentication
role-based access controls
identity management
secure backup and recovery
managed IT services.
Access to client information is restricted to authorised personnel who require access to perform their role.
9. Third-Party Service Providers
We engage specialist providers to support the delivery of our services.
These may include:
psychometric assessment providers
managed IT service providers
cloud hosting providers
software providers
secure backup providers.
Some specialist providers may store or process information outside Australia.
Where this occurs, Omio undertakes reasonable due diligence regarding privacy, security and contractual protections before engaging those providers.
Where required by contract or client requirements, Omio will disclose the use of such providers and seek approval before participant information is uploaded.
10. Overseas Disclosure
While Omio's core business systems are hosted within Australia, some specialist assessment or coaching platforms used during client engagements may process or store information overseas.
Examples may include internationally recognised assessment providers or coaching platforms.
Where overseas disclosure occurs, Omio takes reasonable steps to ensure appropriate contractual, privacy and security safeguards are in place consistent with Australian privacy legislation.
11. Website Analytics and Cookies
Our website may use cookies and similar technologies to:
improve website performance;
understand visitor behaviour;
enhance user experience; and
measure website usage.
Analytics tools may include services such as Google Analytics and other website performance tools.
Users may disable cookies through their browser settings, although some website functionality may be affected.
